Cancellation of exam enrolment

Exemption for cancellation of exam enrolment in a course where it is your first time being enrolled for the exam in the course, but you did not participate in the exam

You may apply for an exemption to have an exam enrolment in a course cancelled if:

  • You have never participated in the relevant exam.
  • You do not plan to participate in the relevant exam now or later during your studies.

If the exam has already been held, you must therefore have one of the following registrations: ‘No Show’ (EM), ‘Sick’ (S), or ‘Not Approved’ (IG).

What should your exemption application include?
In your exemption application for cancellation of an exam enrolment, you must explain why you did not withdraw from the exam before the withdrawal deadline. Therefore, you should NOT explain why you did not participate in the exam              

What should you upload in addition to your exemption application?
If the course is mandatory according to your  curriculum, you must always attach a statement from your head of study indicating which course you should take instead. That also applies if the course, according to your curriculum, is semi-mandatory, and there are no other courses within the relevant course category for you to choose from.

When should you NOT include a head of study statement for a semi-mandatory course?
If you can choose between several courses within the course category to which the relevant course belongs, you do not need to attach a head of study statement. However, it will be advantageous to indicate which other relevant course is within the same category you wish to take instead.

Have you used several exam attempts in a course but never participated in any of the exams?

If you have a course where you have used several exam attempts but never participated in any of the exams, and you have therefore received the registrations ‘No Show’ (EM), ‘Sick’ (S), or ‘Not Approved’ (IG) for all exam attempts, you may, in very special cases, be granted an exemption to have all exam enrolments cancelled.

In your exemption application, you must describe the unusual circumstances that prevented you from withdrawing from the exam multiple times before the withdrawal deadline in the relevant enrollment and withdrawal periods.

Exemption for cancellation of exam enrolment on a course where you have previously participated in the exam

If you are enrolled in a course where you have used more than one exam attempt, and you did not manage to withdraw from the exam before the deadline, you may apply for an exemption to have the specific exam attempt cancelled in which you received the registration ‘No Show’ (EM), ‘Sick’ (S), or ‘Not Approved’ (IG). That only applies if the failure to withdraw was due to unusual circumstances.

What documentation must you provide in your application?
In your exemption application, you must be able to explain and document that there was an unusual circumstance why you were unable to withdraw from the relevant exam in time, where you received the registration ‘No Show’ (EM), ‘Sick’ (S), or ‘Not Approved’ (IG).For example, if illness was the reason why you were unable to withdraw from the exam before the exam withdrawal deadline, you must attach documentation confirming that you were ill during the exam withdrawal period and, therefore, unable to withdraw from the exam in time. You should therefore NOT attach documentation explaining why you did not attend the exam itself but instead attach documentation explaining why you were prevented from withdrawing before the exam withdrawal deadline.

Which reasons will NOT be approved to grant an exemption?

Please note that the following cannot be accepted as justifications for an exemption:

  • Lack of awareness of the rules
  • Lack of awareness of the exam enrolment or withdrawal deadlines
  • Forgetfulness
  • Circumstances arising after the exam withdrawal deadline

What happens if your exemption application is granted?

If your exemption application is granted, the specific exam attempt will be cancelled. In some cases, this means that the course will no longer be part of your curriculum , but only if you have not previously used other exam attempts in the course.

If you have previously been enrolled in or participated in an exam in the relevant course, the course will remain a binding part of your study programme. For that reason, you will have to pass the course later to complete your  study programme.

The same applies to mandatory courses where you have not attached a statement from your head of study confirming that you may take another course instead.
